Outsourced sales department setup: what's included and who it suits

It suits businesses that already have a flow of enquiries handled by the owner or by one or two people with no records. What «done for you» actually stands for

The phrase promises that you pay and a finished sales department is delivered to your door. It works that way at no agency, ours included. A provider assembles the system and the people inside your company, with your money paying the salaries and with you present at the forks in the road. Two or three hours of your time a week is a condition, and it is not negotiable.

What follows is the exact list of what the provider does, what stays with you, and what is outside the service altogether.

The six blocks you are paying for

  • People. A candidate profile for your niche and deal size, the vacancy text, screening, a recorded test conversation, onboarding through the first weeks.
  • Process. The rules: what the rep does with an enquiry in the first fifteen minutes, what in the first three days, when they hand it on, when they close it.
  • Records. A funnel in the CRM where every stage means an action taken. Fields that get filled in, because without them the deal does not move.
  • Comp plan. Base salary, commission, a bonus for hitting plan, and the things money is not paid for.
  • Oversight. Weekly listening to conversations, a review with quotes and time codes, a list of what to fix next week.
  • A report for the owner. Five to seven numbers that show you the team working without you sitting in the chats and in the CRM.

Every block stays with you after the provider leaves: as documents, as CRM settings and as trained people.

What is never included

  • Traffic. Advertising, SEO, seeding — separate work and separate money. A sales team handles the flow that already exists.
  • The product, the price and the terms. If you are dearer than the market for no reason, no script will let a rep carry that.
  • A guarantee of specific deals. We do not guarantee sales growth. Nobody controls an individual deal — not us, and not whoever writes percentages into your contract.
  • Write access to your systems. We work read-only and we do not talk to your customers — not by call, not by email, not through a bot.

Who it suits and who is too early

Signs that the service works:

  • The owner sells personally and has hit a ceiling of time: the enquiries are there and there is nobody to handle them.
  • There are one or two people selling, but the records live in someone's head and in the chat threads.
  • A team exists, the plan is missed, and the numbers do not explain why.
  • The flow of enquiries grew after advertising launched, and handling stayed at the old level.
  • You sold through an outsourced team and it turned out cold enquiries and the old base were not being worked at all.

Half of those who come to us have no sales team at all. That is a normal entry point: there is something to listen to from day one, because recordings of the owner's own conversations show the same mechanics as conversations by hired reps.

Signs that it is better to wait:

  • Fewer than ten enquiries a month. Traffic first, then the team — otherwise new people sit with no work and leave in two months.
  • Margin does not cover a seller's salary. Count it before you start: two reps and a head of sales come to around UAH 189,000 of payroll a month including the 22% employer social contribution, on Work.ua medians for August 2026.
  • The owner is not ready to give two or three hours a week. Without them nothing gets decided about price, discounts and refusals, and the system stalls waiting.
  • You need a one-off diagnosis with no build. Then a conversation review at $150 over three working days is cheaper, and you decide after it.

What the first three months look like

  1. Week 1. We listen to what is already there: recordings, chat threads, the path of an enquiry. We record where it gets lost today.
  2. Weeks 2–4. Candidate profile, vacancy, screening, test conversations. In parallel — the rules and the funnel in the CRM.
  3. Month 2. People at work. Weekly conversation reviews, fixes to the rules, training on your own team's recordings.
  4. Month 3. A comp plan on real numbers, a plan for the month, a report for the owner. We compare conversion with what it was before the start.
On the made-to-order furniture project, conversion from enquiry to order rose from 7.1% to 10.6% in two months. That is +17 orders a month from the same flow, with no new advertising added. Response speed moved like this: one customer in twenty-seven now waits more than an hour, instead of one in thirteen. In legal B2B the road was longer: 3% → 7.5% over five months.

What it costs and how payment works

For scale: our monthly invoice is roughly three times smaller than the payroll of the team being built. People will keep drawing salaries after we leave the project, so your main line of cost is the team itself, with the provider well behind it.

The price moves on four things: how many people already sell, whether recordings of conversations and chat threads exist, how many enquiry sources the company has, and how long a deal runs. A decision made in one touch and a decision that takes six weeks need different records and different oversight. We name the exact figure in writing, after four questions about your business.

How to vet a provider before you pay

  • Ask for the list of work by week for the first month — before you pay.
  • Ask who exactly will work on the project and whether you will speak to those people.
  • Establish the level of access: read or write, and whether anyone will be talking to your customers.
  • Ask about call recordings: when the NDA gets signed, who listens, when recordings are deleted.
  • Look at how the exit works: what period the payment covers and whether stopping carries a penalty.
  • A promise of a specific growth percentage is a reason to stop and ask what it rests on.

  • A funnel in the CRM with action-based stages and a report that assembles itself.
  • A comp plan calculated on your real numbers from last month.
  • A candidate profile and a screening method that works, so the next hire does not start from nothing.
  • Twenty of your team's conversations reviewed, with the places where the money stopped marked.
  • Conversion from enquiry to payment over three months, next to the figure from before the start.
